Grace, the AI Assistant: What She Can Do and How to Ask
Grace is the assistant built into CalculatorAI. She answers questions about your money and the site, and — more usefully — she does the work in your trackers: she adds a transaction, pays a bill, closes a trade, moves money between your accounts, deletes the wrong row and brings it back, and changes a tracker's settings. You ask in plain words, typed or spoken, from any page.
This page is the practical guide: where to find her, how to phrase a request so she gets it right the first time, what she does in each tracker, what she fills in when you leave something out, and what she will never do.
Where Grace lives
- The chat button in the corner of every page. It opens over whatever you are looking at — a tracker, a calculator, a blog post.
- The chat on the home page (Workspace). The same Grace, with a bigger window.
- Voice mode (Grace plan). Ask out loud; she answers aloud.
Voice and text do exactly the same things. A request you would type can be spoken, and the other way round. If something worked when you typed it, it works when you say it.
From any page, into any tracker. You do not have to open the Expenses tracker to log an expense. Ask from the mortgage calculator, the blog or your phone's home screen — Grace sends it to the right tracker.
She knows your data. Grace sees a compact summary of your own trackers (never anyone else's), so "how much did I spend on food this month?" or "which bills are due this week?" get real answers.
How to give Grace a task
Say it in one sentence, with the numbers. The more of the form you say, the less she has to ask.
| Instead of | Say |
|---|---|
| "Add an expense" | "Add an expense: 300 dollars, dinner at a restaurant, paid with the card" |
| "Log a trade" | "I went long BTC at 62,400 with 500 dollars margin, 5x leverage" |
| "New subscription" | "Add Netflix, 17.99 a month, next charge on the 27th" |
| «Добавь доход» | «Запиши доход 1200 долларов, зарплата, вчера, на карту» |
| "Bill paid" | "I paid the rent, 1,850, today" |
Name things the way they are named in your trackers. "With the card", "from Monobank", "for the Kitchen project". Grace matches your words to your own accounts, categories, products, clients, jobs and vehicles — including other word forms («картой» finds the account «Карта», «наличными» finds «Наличка»).
She asks when something required is missing. Grace does not invent the numbers a record needs. A few examples of what she asks back:
- A trade needs the symbol, long or short, the entry price and the size (an amount, a quantity, or margin with leverage). "I longed bitcoin with 5x" gets "At what price did you enter, and how much did you put in?" A closed trade also needs the exit price.
- A portfolio buy needs the asset and how much — a quantity or a sum. "I bought 100 dollars of Arbitrum at 23 cents" is enough; without a price she uses the live quote.
- A habit skip needs the reason. A shift needs its start and end. A subscription needs its next charge date.
Dates in plain words work. "Yesterday", "last Friday", "on the 15th", «позавчера».
What she can do in each tracker
These are examples, not the full list: anything you can do by hand in a tracker's form, you can ask Grace to do.

Saved by herself, or opened for you
There are two ways Grace finishes a request:
- She opens the tracker's own form, already filled. You look it over and press Save. This is how it works on every plan.
- She saves it herself and shows a "Saved" card with Undo and Open. This is the "Grace saves for me" switch in Account settings → Preferences, part of the Grace plan. It is off until you turn it on.
Even with the switch on, Grace saves by herself only new, simple records: an expense or income, a transfer between your accounts, a subscription, a bill, a savings goal, a budget line, a business P&L line, an inventory product, a habit, a shift, a trip, rental income or an expense, a client or a note, task or hours on one, a dividend payment, a net-worth asset, a portfolio buy or sell, a journal trade that has everything it needs.
Always confirmed by you, on every plan:
- changes to something that already exists (a new price, a new amount, a new rate, a new stage);
- payments and closings (paying a bill, a debt or a loan payment, closing a trade, a contribution to a goal, a stock movement, a supplier order);
- deletions (see below);
- settings;
- bookings and invoices;
- anything where Grace cannot tell which job, vehicle, property, client or account you mean.
Undo on a "Saved" card moves the record to that tracker's trash, so nothing is lost even if you press it by mistake.
Your personal book or a shared one
If you keep a tracker together with someone (a family budget, a shared wallet, a business book), Grace needs to know where a record goes.
- By default it goes to your personal book.
- She asks only when it matters: if you have a shared space for that tracker where you can edit, she asks once per conversation — "Personal, or 'Family'?" — and remembers your answer for the rest of the conversation.
- Name it to skip the question: "Add 50 for groceries to Family" goes straight to the shared space called Family.
- If you can only view that shared space, or there is no shared space with that name, she says so and offers your personal book instead.
A record never lands in a shared space by accident.
Deleting, and bringing things back
"Delete today's coffee", "remove the Netflix subscription", «удали последнюю сделку по BTC».
- Grace finds the matching records and names them before anything happens — "Coffee · 4.50 · Oct 13 — delete?".
- Several matches: you tick the ones you mean.
- Always confirmed: several rows at once, a whole thing with what is inside it (a client, a debt, a loan, an event plan), and a row someone else added in a shared book.
- With "Grace saves for me" on, one plain record of your own goes at once — with a Restore button right there.
Every tracker keeps deleted records for 30 days in its trash — the trash icon in the tracker's header (it appears only when something is in it). After 30 days they are erased for good.
To bring something back, just say so:
- "Oops, wrong one — bring it back" / «ой, не то, верни» restores exactly what Grace deleted last.
- "Restore the 500 I deleted yesterday" looks in that tracker's trash.
Settings and currencies
Grace can change a tracker's settings — "remind me 5 days before bills", "make my budget 50/30/20", "set the sales tax to 8.25%", "show mileage in kilometres", "my paycheck is biweekly". She shows what changes ("Method: zero-based → 50/30/20") and nothing is saved until you confirm.
"Show everything in euros" changes the currency the whole site shows amounts in. She asks first. Your records keep their own currencies; only the display changes.
A record in another currency is not a setting. If you usually keep everything in hryvnia and say "add income of 100 euros", that one record is saved in euros and nothing else changes. Totals convert it into the currency you are viewing.
Photos and screenshots: send a picture, get the form filled
Grace reads pictures. Attach a screenshot, a photo or a PDF in the chat (the paperclip or the camera on your phone) and say nothing else, or add a word of context ("this is from my business card"). She works out what the document is, which tool it belongs to, and opens that tool with the fields already filled in.
What she can read:
| You send | Where it goes |
|---|---|
| A shop receipt, a bank-app payment or transfer confirmation | An expense in the Expenses tracker (or a cost line in the Business P&L) |
| A bank or card statement, a list of transactions | Every row into the Expenses tracker, in a review sheet |
| A paystub or a W-2 | The Paycheck calculator, with gross pay, taxes and deductions in |
| A mortgage, loan or student-loan statement | The matching calculator or the Loan tracker, with balance, rate and payment |
| A credit card or debt statement | The Debt Payoff tracker |
| A brokerage or exchange screen with your holdings | The Portfolio tracker |
| A trade history or an open position | The Trading Journal — one trade per row |
| A dividend history | The Dividend tracker |
| Account balances | The Net Worth tracker |
| A budget sheet | The Budget tracker |
| Your phone's subscriptions screen | The Subscription tracker's list, or the Subscription Audit calculator |
| An Airbnb, Booking.com or VRBO booking | The Rental Income tracker |
| An invoice | The Invoices tracker |
| A business card | A new client |
| A mileage log or a shift schedule | The Mileage or Shift tracker |
| A screen with the numbers of almost any calculation (a loan offer, a savings account, a payslip, a crypto trade…) | The calculator it fits, with your numbers in |
One document can fit more than one tool. A list of transactions is your personal Expenses ledger — or your business's income and costs. Grace shows the best match first and the other tools the same picture fits, each with one line on why; you pick.
She reads the whole picture. A statement with twenty rows gives twenty rows, not the first one. When there is more than one, they open in a review sheet: untick what you do not want, fix anything she misread, then save.
Nothing is saved from a picture until you confirm. A picture always ends in a filled form or a review sheet — even with "Grace saves for me" on.
Plans: reading pictures is available on every plan; Free has a small daily allowance (see the pricing page), Pro and Grace are unlimited. Some trackers also have their own import button for their kind of document (bookings in the Rental tracker, statements in Expenses, trades in the Journal) — Grace will point you to it when that is the better way.
Where the picture goes afterwards: a picture that became records is kept with them (in My files, and attached to the record where the tracker has a place for it); a picture you only showed in the chat is deleted after a while.
Calculators: she knows every one of them
Grace knows every calculator on the site — what each input means, how the result is worked out, and which calculator fits your question.
- Opens a calculator with your numbers. "Mortgage on 420k over 30 years at 6.5%", "What's my take-home on 85,000 in California?", «сложный процент: 10 000 на 10 лет под 8%», "How long to pay off 6,000 on a card at 24% paying 250 a month?" — the right calculator opens with the numbers already in. You see the result at once and can change any field.
- Picks the calculator for you. You do not need to know its name: "should I rent or buy?", "how much house can I afford?", "what does this AI model cost me per month?" — she opens the one that answers it.
- Explains inputs and results. "What is PMI?", "why is the APR higher than the rate?", "what does this break-even number mean?" — on a calculator page she sees your current inputs and result and explains them with your figures.
- Compares and remembers scenarios. After a meaningful calculation she offers to remember the scenario ("Option A — 30-year fixed"); later, "compare it with 15 years" or "how does my plan look now?" brings it back. A saved retirement or investing scenario can be checked against your real Portfolio, a mortgage scenario against your real loan.
- Moves a result into a tracker. "Add this payment to my bills", "start a savings goal from this" — the tracker opens with the calculator's figures in.
- Across every category: mortgage and housing, loans and debt, salary and taxes, investing and retirement, savings, business and pricing, trading, crypto, AI costs, health and fitness, everyday maths.
Document generators: invoices, quotes, receipts and the rest
Grace knows every document tool — the Invoice Generator, quotes, receipts, proforma and commercial invoices, credit and debit notes, delivery notes, purchase orders, timesheets, expense reports, statements of account and progress billing.
- Fills a document from one sentence. "Invoice Globex 4,200 for May consulting, Net 30, 20% tax" or "Quote to a new client: 4 months of fractional CMO at 6,500 a month, 50% deposit" — the generator opens with the client, line items, dates, tax and terms in. Each generator also has its own Fill with AI box that does the same on the page.
- Explains the paperwork. The difference between a quote, a proforma and an invoice; what Net 30 means; what a commercial invoice needs for customs (HS codes, Incoterms, weights); when to issue a credit note instead of editing an invoice.
- Helps you finish: download the PDF, e-mail it to the client from the page, save it to the Invoices tracker so it is followed until it is paid. Nothing is sent without you pressing Send.
- After it is sent: "which invoices are overdue?", "Acme paid invoice 1043" (she opens it to mark paid), "draft a polite reminder to Acme".
- Plans: the AI fill has a daily allowance on Free (see the pricing page); Pro and Grace are unlimited. No document ever carries a watermark, on any plan.
Everything else Grace does
- Answers about all of your data at once. "How am I doing this month — trading and invoices?", "Which bills are due this week and is there enough on the card?", "What did I spend on food compared with last month?" — she reads every tracker you use, so one question can cover several.
- Remembers you. Tell her "remember I'm saving for a house" or "I'm paid biweekly" and she keeps it. You can see and delete every remembered fact in Settings → "What the assistant remembers".
- Tracks your goals. A goal with a number ("250k invested by 2030") is followed against your real data, with exact progress.
- Greets you with what changed. When you come back, a short note shows what moved since your last visit — the portfolio, overdue invoices, new trades, money spent.
- Nudges you when something needs you. A bill due in a few days, an expense category over budget, a lease ending soon, a debt that is growing, an empty habit day — one friendly note with one next step, at most every few days, in the bell, as a push or by e-mail. One switch in Settings turns them off.
- A morning summary. At the hour you choose, one message with today's reminders, due dates from your trackers and subscriptions that renew soon (Settings → Preferences).
- Price alerts. "Tell me when BTC goes above 70,000" — she sets the alert; it arrives as a push and in the bell.
- One conversation everywhere. The chat on the home page, the floating chat and your phone share the same history, so you can start on a laptop and finish on the phone.
- Tracker coaches. Some trackers (the Trading Journal, Business P&L, Subscriptions, Savings goals, Debts, Habits, Invoices) also have their own coach chat inside them, focused on that one tracker. Grace is the one that sees all of them together and works from any page.
- Speaks your language. She answers in the language you write in, in any of the site's languages.
Voice: dictation — speaking instead of typing in the chat — is part of Pro. Grace's own voice and the voice mode on the home page, where you talk and she answers aloud, are part of the Grace plan.
If you don't say it — what Grace fills in
So nothing in your trackers comes as a surprise, here is what Grace puts in the fields you did not mention. It is the same whether she saves by herself or opens the form for you.
| Tracker | Field you did not say | What Grace uses |
|---|---|---|
| Expenses | Account | The account your last saved transaction went to. If that one had no account, none. |
| Currency | The account's own currency (the one you named, or the one your last expense went to); with no account, the currency you last saved in Expenses; otherwise the one you are viewing. | |
| Category | "Other" (your own categories are matched only when you name them). | |
| Date | Today. | |
| Repeat | None — a record repeats only when you say so. | |
| Subscriptions, Bills, Savings goals | Currency | The currency you last saved in that tracker; otherwise the one you are viewing. |
| Category | "Other". | |
| Reminder | The tracker's own default reminder. | |
| Cycle / frequency | Monthly. | |
| Budget | Month | The current month. |
| Group | The group of the category you named, otherwise Needs. | |
| Currency | Your budget's currency. | |
| Business P&L | Account | The sales channel's account, otherwise your default account, otherwise your only account; none if none of those exist. |
| Currency | The product's currency when the amount comes from the product's price; otherwise the currency you last saved in the P&L. | |
| Category / date | "Other" / today. | |
| Inventory | Currency / unit | The tracker's base currency / pieces. |
| Shifts | Job | Your only job. With several and none named, the form opens on the job you used last. |
| Break / rate | No break / the job's own rate. | |
| Mileage | Vehicle | Your only vehicle. With several and none named, the form opens on the vehicle you used last. |
| Unit / type | The vehicle's distance unit / Business. | |
| Parking and tolls currency | The vehicle's rate currency. | |
| Rental | Property | Your only property. With several and none named, the form opens for you to pick. |
| Category | Rent for income, "Other expense" for an expense. | |
| Net worth | Kind | "Other". |
| Dividends | Currency / account | The position's own currency and account. |
| Date | Today. | |
| Trading journal | Status | Open, unless you gave an exit price (then closed). |
| Account / date | No account; the entry date is today. | |
| Portfolio | Price / date / fee | The live market price / today / none. |
| Clients | Kind / status | Person / your book's default status (lead when you say "lead"). |
| Habits | Schedule | Every day. |
Tips for getting it right
- Give your accounts and categories distinct names. "Card" and "Cash" are easy; "Mono Black" and "Mono White" both answer to "mono", so Grace asks which one rather than guessing.
- Short commands work once she knows the context. After "add 300 for dinner", "and 40 for the taxi" is enough.
- Correct her in the same conversation. "No, from the card", "make it 350" — she opens the record she just made with the change, for you to save.
- Check the "Saved" card. It says what was saved and where. Undo is one tap.
- Ask what she sees. "What did I spend on transport this month?", "Which subscriptions renew this week?" — the answers come from your own data.
What Grace never does
- She never touches your password vault. She can explain how it works; she cannot read, search or count what is in it.
- She never changes, pays, closes or deletes without you — those always go through a form or a confirm.
- She never guesses between two similar names. Two matches mean a question, not a pick.
- She never writes into a shared book by accident — only when you choose it or name it.
- She never invents a number a record needs — she asks.
- She does not act on other people's data. In a shared book she sees what you see, nothing more.
Plans
- Free: Grace in the chat with a daily allowance of messages and picture reads; she opens forms filled for you to save, deletes and restores with your confirmation, changes settings when you confirm.
- Pro: everything above without the daily cap, plus dictation (speak instead of typing in the chat).
- Grace: everything in Pro, plus Grace's voice — she answers aloud and you can talk to her in voice mode — and "Grace saves for me".
The current prices and allowances are on the pricing page.
Frequently asked questions
Does Grace understand voice the same way as text? Yes. Whatever you can type, you can say, and the result is the same.
Can Grace add something to a tracker I am not looking at? Yes. Ask from any page; she sends the record to the right tracker and, if it opens a form, takes you there.
Will Grace save things without asking me? Only if you turn on "Grace saves for me" (Grace plan), and then only new, simple records — each with an Undo button. Changes, payments, deletions and settings always wait for you.
Why did Grace pick this account for my expense? When you do not name one, she uses the account of your last saved transaction — the same one the form preselects. Name the account ("with cash") to choose another.
What happens if Grace deletes the wrong thing? Say "bring it back" or press Restore on the card. Every tracker also keeps deleted records in its trash for 30 days.
Can Grace write to my family's shared budget? Yes, if you can edit it. She asks "personal or shared?" once per conversation when you have a shared space for that tracker, or you can name the space in the request.
Can Grace change my currency? She can change the currency the site shows amounts in, after you confirm. A record you add in another currency simply keeps that currency.
Can I just send Grace a screenshot? Yes. Send a receipt, a statement, a brokerage screen or a paystub; she recognises what it is, picks the tool it belongs to and opens it filled in. Several rows on one picture come through as several rows for you to check.
Does Grace know how the calculators work? Yes, every one of them. Ask in plain words and she opens the right calculator with your numbers, explains each input and result, and can remember a scenario to compare later.
Can Grace make an invoice or a quote for me? Yes. Describe it in one sentence — client, items, amounts, terms — and the generator opens filled in. You review it, download the PDF or e-mail it from the page.
Does Grace see my password vault? No. The vault is encrypted with your master password and Grace has no access to it.
What if Grace misunderstands? Correct her in the same conversation ("no, 350", "from the card") and she opens the record with the change, or open it yourself and edit it. Nothing she saves is final — everything can be edited, undone or restored.
Is my data used to train AI? No. Grace reads your own data only to answer you.
