Commercial Invoice Methodology — Complete Guide

Tip: Need to create a commercial invoice? Use our free Commercial Invoice to draft, customize, and download your document in seconds.

CalculatorAI's reference for writing professional, customs-compliant commercial invoices that satisfy international customs authorities, freight forwarders, and trade compliance audits. Every section covers what to include, why it matters, and standard trade guidelines. Used as the public guide AND as background context for the editor's AI Help mode.

What is a commercial invoice (and what it isn't)

A commercial invoice is a legal document issued by the exporter (seller) to the importer (buyer) in international trade. It serves as the primary declaration of value and transaction details for customs authorities at both the export and import borders.

Key document distinctions:

  • Commercial Invoice: Sent after or during shipment. It is the final legal record of the sale, used by customs to calculate duties and taxes, and recorded in accounting systems as an active account receivable/payable.
  • Proforma Invoice: Sent before shipment as a preliminary agreement. It has no accounting value and cannot be booked to a ledger.
  • Purchase Order (PO): Sent by the buyer to the seller to place an order.
  • Delivery Note: Details the items included in a shipment but does not list prices or financial totals.

Required fields & what each one is for

A commercial invoice requires specialized logistical and customs fields that standard invoices do not carry:

1. Logistics & Customs Metadata (Document-Level)

  • Carrier / Vessel: The name of the shipping company, airline, or vessel (e.g., DHL, Maersk Line, flight/voyage numbers) transporting the goods.
  • Air Waybill (AWB/BL) number: The unique tracking number issued by the carrier or shipping line.
  • Incoterms & Place: The international commercial terms (e.g., FOB, CIF, EXW) defining when liability and costs transfer from seller to buyer, followed by the specific geographic port/point (e.g., FOB Port of Shanghai).
  • Packages count & type: The total number of boxes, pallets, or containers in the shipment.
  • Net & Gross Weight: The weight of the goods alone (Net Weight) and the weight including all packaging/pallets (Gross Weight), usually expressed in kg or lbs.

2. Customs Line-Item Fields (Item-Level)

  • HS Code (Harmonized System Code): A standardized numerical code (usually 6 to 10 digits) used by customs worldwide to classify products and determine import duty rates.
  • Country of Origin: The country where the goods were manufactured, produced, or grown (e.g., CN for China, DE for Germany).

Customs usage & global shipping compliance

When goods cross borders, customs officers inspect the commercial invoice to ensure trade compliance:

  • Duty and Tax Calculation: The customs value (often CIF-based) determines the import VAT/GST and customs tariffs.
  • Harmonized System (HS) Matching: Incorrect HS codes can lead to major clearance delays, audit fines, or cargo seizures.
  • Incoterms Rules: Crucial for determining who pays the duties, cargo insurance, and freight shipping costs.

Digital Signatures (Signature Canvas)

To speed up document authorization and present a professional brand identity, the CalculatorAI editor includes an interactive Signature Canvas drawing pad.

  • Drawing a Signature: Click the "Show Signature" checkbox in the settings drawer on the right sidebar. Under the notes/terms area in the template preview, a dashed placeholder block will appear. Click it (or click "Draw Signature" in the right sidebar) to open a signature pad modal. You can draw your signature using a mouse, trackpad, or touch screen.
  • Privacy-First Storage: Storing handwritten signatures can be a privacy concern. CalculatorAI stores your drawn signature locally as a base64-encoded PNG data URL directly inside your document draft's JSON structure. It is never uploaded to public folders or shared asset servers, ensuring your signature remains strictly private.
  • PDF Rendering: Once saved, the signature is rendered at the bottom of the document preview and automatically embedded into all 5 PDF themes during download.
