What is a debit note (debit memo)

A debit note (or debit memorandum) is a formal document issued by a seller to a buyer to increase the amount the buyer owes under a previously issued invoice, or issued by a buyer to a seller when returning goods to request a credit note.

Key document distinctions:

  • Debit Note: Increases the client's account balance (accounts receivable). Sent when an invoice was underbilled or scope was added.
  • Credit Note: Decreases the client's account balance (refund or credit). Sent for returns, errors, or disputes.
  • Invoice: The primary initial request for payment.

Required fields & what each one is for

A professional debit note contains:

Unique Debit Note Number. Essential for sequential corporate tracking.

Reference Invoice Number. The ID of the original invoice being adjusted. Allows accountants to link the debit increase directly to the target transaction.

Itemized Adjustment Lines. Description of the underbilling error, surcharge, or added scope, along with rates and totals.

Final Totals. Total additional amount owed, including tax adjustments.

  • PDF Rendering: Once saved, the signature is rendered at the bottom of the document preview and automatically embedded into all 5 PDF themes during download.
