How to quote as a printing

Print pricing is dominated by set-up, so the price per unit falls steeply with quantity — which is why a quote should show two or three quantities rather than one. The other essential line is proofing: who signs off, and who pays if an approved proof turns out to be wrong.

This template opens with set-up, print-run and finishing lines. Show the quantity breaks, state the proof terms, and send an estimate that makes the bigger run look like the sensible choice it usually is.

What to include

  • Item, size and number of colours
  • Quantity — with price breaks at two or three volumes
  • Stock, weight and finish
  • Finishing (cutting, folding, binding, lamination)
  • Proofs, artwork requirements, delivery and validity

Typical terms: Valid 14 days · price assumes print-ready artwork

Frequently asked questions

Why show more than one quantity?

Because set-up is a fixed cost and the customer usually does not know how sharply the unit price falls. Showing 500 against 1,000 side by side sells the larger run better than any argument you can make in an email.

What should the quote say about artwork?

That the price assumes print-ready files to your specification, and what you charge to fix files that are not. Artwork correction is the most common source of unbilled work in print.
