For a domestic US invoice paid in dollars, a client who chooses PayPal or Venmo currently turns a $1,000 invoice into a $35.39 processing fee and a $964.61 net payment. The same PayPal invoice paid by card or Apple Pay costs $30.39. Pay by Bank (ACH) costs $10 because its 1% fee hits the cap.
That does not make PayPal Invoicing expensive or cheap by itself. The fee buys an embedded checkout, several payment methods, payment status, reminders, recurring invoices and a familiar name at the moment a client is deciding whether to pay. A PDF from a free Invoice Generator can avoid that particular processor fee when the client pays by direct bank transfer—but it does not provide a PayPal checkout, and the bank or alternative payment rail may still charge its own fee.
The useful question is not “Is PayPal free?” It is: what does each payment path cost on this invoice, and is the reduced friction worth it for this client?

The invoice face does not tell you which of those outcomes will happen. A customer may choose a wallet, card, installment option or bank payment at checkout. When margin is tight, model the available routes rather than budgeting against one headline rate.
PayPal also lists an optional Invoicing Subscription at $14.99 per month. That subscription is a separate product cost; it does not replace the transaction fees above. Confirm which subscription features are active in your account before treating it as part of the calculation.
The $1,000 invoiceFollow the money line by line
For the common PayPal or Venmo route, the arithmetic is straightforward:

If processing is a normal cost of doing business, build it into pricing deliberately rather than adding an unexplained line after the work is complete.
Also distinguish revenue from cash. The sale is $1,000, the payment-processing expense is $35.39 and the net deposit is $964.61. At $100, PayPal/Venmo costs $2.98 more than ACH. At $5,000, the gap is $164.99. That is why a freelancer may happily absorb wallet fees on a small rush job but request bank payment for a five-figure retainer.
Do not read the table as a promise that ACH is always available or risk-free. Payment options vary by account and recipient, and bank returns or disputes can still happen. It is simply the published PayPal Invoicing route with the lowest fee in this US comparison.
PayPal Invoice or PDF invoice?Checkout convenience versus control
A PayPal invoice is both a document and a hosted payment flow. A PDF invoice is a document; you choose what payment instructions to put inside it.
PayPal Invoice
The customer can pay from the invoice by PayPal, Venmo, card, Apple Pay, Pay Later or eligible ACH. PayPal tracks status and supports reminders and recurring invoices; transaction fees and platform rules apply.
PDF Invoice + your payment instructions
You control the document, bank details and payment options. CalculatorAI charges no PDF download fee, but you must reconcile payment yourself and any bank, wire or external processor can still charge separately.
PayPal says 77% of PayPal invoices were paid within one day in its internal data covering August 2023 through July 2024. That is not a guarantee and it is not an independent comparison with PDF invoices, but it explains the product's value proposition: a recognizable, immediate checkout can remove steps.
The Invoice Generator is a better fit when the client already pays by bank transfer, requires a PDF for accounts payable, or your contract specifies another payment rail. It supports line items, tax, discounts, currencies, logos, signatures and PDF download without a watermark. It does not process the money or provide PayPal's buyer-facing checkout.

For repeat B2B clients, the balance often flips. Once procurement has your bank details and vendor record, ACH or direct transfer can be both normal and much cheaper. Give clients a preferred method in the contract and invoice, while keeping a convenient alternative when payment speed or accessibility matters more than the difference.
International invoicesAdd 1.5 percentage points before conversion
PayPal's US fee page adds 1.50% to international invoicing transactions. For a $1,000 invoice paid by the PayPal/Venmo route, the processing calculation becomes 4.99% + $0.49, or $50.39, before any currency conversion.
The location of sender and receiver, the currency received and any conversion determine the actual outcome. A client seeing “$1,000” may think USD, CAD or AUD depending on context, so choose the currency explicitly in the document and state who bears bank or conversion charges. The generator's currency setting changes the document; it does not lock an exchange rate or perform conversion.
For cross-border work, compare the whole route:
- processor percentage and fixed fee;
- international uplift;
- currency-conversion spread or bank conversion;
- withdrawal or receiving-bank charges;
- time to clear and ease of reconciliation.
A lower advertised transaction rate can lose once currency conversion is included. Use the rate shown for the account and market actually receiving the payment.
Refunds, reversals and disputesThe first fee is not the worst case
PayPal's US User Agreement says that when a transaction is refunded, the fees paid in connection with the sale are retained as described on the fee page. It also explains that reversed payments, chargebacks and claims can make the seller responsible for the transaction amount and applicable dispute or chargeback fees.
Seller Protection can cover eligible transactions in specified circumstances, but it is conditional. The item, transaction, shipping or delivery evidence and response deadlines matter. A professional invoice helps describe the sale; it does not make an ineligible transaction eligible or replace proof of delivery.
Keep together:
- the accepted proposal or scope;
- the final invoice and itemization;
- the PayPal transaction record;
- correspondence approving delivery;
- shipment tracking or service-delivery evidence;
- any refund, credit or dispute record.
Never ask a commercial customer to use Friends and Family to avoid fees. PayPal's User Agreement explicitly prohibits sellers from asking buyers to send a personal transaction for goods or services, and doing so strips away the correct commercial classification.
Build the invoice around the payment decisionNot after it
Choose the payment route before sending the document, not when the client asks where to click.
Set the price and margin

Agree on currency and payment methods
Put the preferred method and any accepted alternative in the proposal or contract. Do not introduce a surprise fee on the final invoice.
Create one canonical invoice
Use PayPal's hosted invoice or build the PDF in the Invoice Generator. Keep the same invoice number, client entity, line items, amount and due date across systems.
Send it to the accounts-payable address
A convenient pay button cannot fix an invoice sent to the wrong person or missing a purchase-order reference.
Reconcile gross, fee and net
Close the full invoice amount as revenue, record the processor charge as an expense and match the remaining deposit to the bank.
Issue proof after payment
Once funds clear, send a payment receipt that references the invoice. Do not turn the processor notification into the only customer record.
This workflow keeps the price conversation separate from bookkeeping. The client sees one agreed amount; your records show how much of that amount became processor expense.
